Typing the same delivery confirmation or short instruction repeatedly takes time and increases the chance of minor errors. Text shortcuts on your phone allow you to associate an abbreviation with a phrase of your choice.

This guide covers iPhone Text Replacement and Samsung Keyboard shortcuts on compatible Galaxy devices. These are features of the keyboards themselves, without the need to purchase a separate app for pre-written responses. The Samsung shortcut may not automatically apply to all Android devices.

Start with three phrases that you actually repeat.

Before opening the settings, choose short and stable texts. A phrase that needs to change the date, price, or recipient each time it's used offers more opportunities for error.

These examples are suggestions for organization, which you can adapt:

Suggested abbreviationRegistered phrase
zzrecebiI received your message. I'll check the information.
zzarquivoHere is the combined file.
zzreturnAs soon as the conference is over, I'll be back here.

An unusual prefix helps to distinguish shortcuts from regular words. Avoid abbreviations like "yes" or "good," which you likely use in other contexts.

The shortcut “zzarquivo”, for example, inserts only the phrase: you still need to attach the document. Prefer messages whose validity is easy to verify before sending.

How to create on iPhone

In Settings, go to General, then in Keyboard and open Text Replacement.

  1. Use the "Add an entry" button.
  2. Fill in the sentence field with the complete text.
  3. In the shortcut field, type the chosen abbreviation.
  4. Save it and try it out in a note before using it in a conversation.

If you want to remove an entry, go back to the same list, enter edit mode, and delete only the desired item. Apple presents the creation and removal process in... text replacement guide.

How to create on a Samsung Keyboard

Open your device settings and search for Samsung Keyboard. You can also access your preferences using the keyboard's gear icon. Search for it. Text shortcuts, In the smart typing area, the names and layout may vary depending on the version and model, as reported by... Samsung support.

Add an entry, specify the abbreviation and the complete phrase, and confirm. As you type the shortcut, the phrase appears in the suggestion bar: tap it to insert it. This functionality is described in... keyboard customization guide.

If you use a different keyboard on your Galaxy, open that keyboard's settings. Having a Samsung phone doesn't mean the Samsung Keyboard is currently active.

Review the result, not just the abbreviation.

Do the first test on a note without a recipient. Check if the sentence is complete, if the punctuation works in context, and if the shortcut is easy to remember.

Next, try it in the app where you intend to use the text. Don't send the test message to someone just to confirm it works.

Avoid registering passwords, access codes, and personal information that you wouldn't want to accidentally enter. For professional phrases, opt for neutral wording; a very informal, pre-written response may not be suitable for all recipients.

If the expanded text has become too long and you prefer to listen to it during revision, here's how to use it. Read aloud on your cell phone.

A person pauses to check their cell phone near a window.

Expand the list after trying it out in your routine.

Use few shortcuts initially. When a phrase is useful multiple times, keep it; when you need to correct the text every time you use it, rewrite the entry or stop using it.

The goal is to reduce repetitive typing without sacrificing final proofreading. Before sending, double-check that the message reflects what you intended to say in that conversation.
